Why most quote requests die
When someone asks for a quote on Marketplace, by text, or through a form, they usually asked two or three other sellers the same day. The winner is rarely the cheapest — it’s usually the first one who follows up like a real business instead of going quiet. You don’t need a separate email platform to do that. I run follow-up inside the same free Systeme.io account that hosts this blog and the quote-request funnel from Post 2.
The setup (10 minutes, free plan)
- Every quote-request form submission gets one tag: quote-request.
- That tag triggers one simple sequence: Email 1 now, Email 2 on day 3, Email 3 on day 7. No daily blasting, no newsletter nobody asked for.
- Every email ends with one action only: reply, or Call/Text. One link, one next step.
Email 1 — Same day (confirmation, not a pitch)
Subject: Got it — your quote request is in
Hey [first name], thanks for reaching out. I got your request for [size / project]. I’ll put your numbers together and get back to you by [day/time]. If anything changes — different size, tighter timeline — just reply to this email and tell me. — [Your name], [Business name]
Why it works: it proves a human received it and sets a deadline you now have to hit.
Email 2 — Day 3 (the useful nudge)
Subject: Quick check on your [size / project]
Hey [first name], circling back on your [size / project] request. Two things usually change the price: delivery/access at your place, and any add-ons (loft, shelves, electrical). If you want, reply with a photo of where it’ll sit and I’ll tighten the quote up. If you went another direction, no hard feelings — a quick pass helps me close the loop. — [Your name]
Why it works: it asks for one specific, helpful thing (a site photo) instead of just checking in.
Email 3 — Day 7 (clean close)
Subject: Should I close this out?
Hey [first name], last note from me on your [size / project]. Want me to (1) send the final numbers, (2) hold this and check back next month, or (3) close it out? Reply with a number — takes five seconds. — [Your name], Call/Text: [your number]
Why it works: people answer multiple choice when they ignore open-ended emails, and a clean close protects your list and your time.
What this costs, honestly
On Systeme’s free plan this runs at $0 until you outgrow 2,000 contacts — the same limits I covered in Post 1. I have not tested Kit or MailerLite inside this business yet, so I’m not going to pretend-compare tools I haven’t run. When I do test a dedicated email tool for real, I’ll write it up with actual screenshots, not a feature list copied from a sales page.
Build yours
If your quote requests live in Messenger threads and memory, this is the cheapest fix I know — because it’s the one running behind this blog right now:
→ Build your free Systeme.io account here
No card to start. Build the form first (Post 2), then paste these three emails in. An afternoon of setup, then it just runs.
Next in this series: what to put on the thank-you page so a quote request turns into a phone call instead of a dead end.

Operators Toolbelt is a real one-person business test bench: if a tool doesn’t save time or help bring in work, it doesn’t get recommended.
